A new accounting platform can support better workflows, but software selection is only one part of a successful change. Before comparing products, take time to understand the work the system needs to support.

Map the current process

Identify how invoices, payments, payroll and bank activity enter your records. Note where information is transferred manually and where the team encounters delays. This gives you a clearer picture of the problem you are trying to solve.

Define useful reports

List the information your business needs for regular review. Consider who uses each report, how often it is needed and which details must be available. Reporting requirements can affect how data is structured in the new system.

Review the data

A system change is an opportunity to examine account lists, customer and vendor records, outstanding balances and transaction history. Decide what should be transferred and which records need review before conversion. Moving incomplete or inconsistent data can carry old problems into a new platform.

Check application connections

Your accounting platform may need to work with billing, e-commerce, time management or payroll applications. Review how these connections will function and who will monitor exceptions. An integration still needs clear ownership and a way to verify that information has transferred correctly.

Plan the transition

Define responsibilities for setup, conversion, review and daily use. Consider how the team will learn the new process and how opening balances and initial reports will be checked. Keep the previous records accessible where needed for comparison and reference.

Start with the process and the information your business needs. That foundation makes it easier to evaluate software and plan an implementation with a clear purpose.
